Summary

The Licensing Specialist plays a crucial supportive role within the finance and legal departments, primarily reporting to the Vice President, Finance and Accounting, with a secondary reporting responsibility to the General Counsel. The Licensing Specialist ensures the organization and its trade partners are in compliance with various licensing laws and regulations in all United States territories that Drew Estate sells and distributes tobacco products. This position involves maintaining the customer license records, working with trade partners to obtain new and renewed operating licenses, and actively researching and maintaining a working knowledge of relevant legal frameworks and tobacco licensing regulations for each state and various regional and municipal localities. This position requires a particular attention to detail and calendar management to ensure timely tracking of all licenses their expiration dates, and renewal requirements.

 

This position is based out the headquarters office located in Doral, FL and will work a hybrid schedule (Mon, Fri - remote, Tu-Th in office). Candidate must be willing to work in a smoking-friendly environment.

 

Reporting Relationships

The Licensing Specialist reports to the Vice President, Finance and Accounting, with a secondary responsibility to the Senior Vice President of Operations & General Counsel.

Essential Roles & Responsibilities

  • Communicate with our trade partners to obtain current operating and/or tobacco licenses
  • Track and maintain vendor databases to ensure we have current operating and/or tobacco licenses and contact information properly logged and calendared for review as may be required during renewal periods
  • Work closely with Accounts Receivable to update vendor licensing information and provide copies of required documentation as may be required
  • Notify internal Accounts Receivable and the General Counsel of any relevant licensing changes
  • Conduct regular research on local, state and federal regulations to ensure and verify compliance and advise General Counsel of any relevant changes
  • Assist with legal and compliance projects including due diligence requests, regulatory reports, etc., as directed
  • Prepare and maintain regular reports on license status, renewals, and outstanding documentation.

Education & Experience Requirements

  • Associate’s degree in business administration or related field or equivalent relevant work experience
  • Minimum 2 years related experience in regulatory compliance
  • Experience with NetSuite preferred
  • Knowledge of state and federal tobacco licensing regulations preferred
  • Proficiency with Excel
